Bulk signature of electronic documents

Signing wage indexations for all employees, end-of-day orders, decisions on the acceptance of claims or just signing one contract multiple times for a tender. There are many reasons and processes where multiple signatures are needed at the same time, and there are people in every organisation who find signing single documents very laborious and time consuming.

Bulk signature of electronic documents

The solution is bulk signing - a feature designed for organization's statutory representatives, top management, managers, buyers, accountants and others who regularly handle large numbers of electronic signatures.
OBELISK Signing Portal offers three ways to implement multiple signatures. Each is suited to a different situation:

  • Mass signing of a large number of unrelated documents.
  • Signing envelopes for easy signing of a small number of documents that are materially related.
  • Multiple signatures in one document.

Bulk signature

The meaning and benefits of mass signatures can best be illustrated by the following example:
Anorganization is evaluating salaries for 1,000 employees, and since the entire process is fully digital, all 1,000 documents need to be electronically signed on behalf of the organization. The HR manager has two options. Either he signs each document individually e.g. in Acrobat (open pdf, place signature, select certificate, enter pin, sign and send to employee) or he chooses the bulk signature route to clear everything at once.

Bulk signatures, just as the name suggests, allow you to sign all documents at once. Payroll adjustments for thousands of employees can indeed be signed in one step, and the OBELISK Signing Portal will ensure that they are sent out to employees. The same process can be applied to signing invoices, purchase orders and other agendas.

How do you sign?
First, select all the documents you want to sign (you can use the preset filters for simplicity) and click the sign button to start the signing process. Some signing methods require authorization e.g. PIN for qualified certificates on a card or token.

Is there any prerequisites for bulk signatures?
Yes, in order to use bulk signatures, the document must indicate where the signature is to be placed (signature field) and the signature method must support bulk signatures e.g. Bank iD Sign does not allow bulk signatures.

Signature of envelopes

When creating a signature request, documents can be placed in a common electronic envelope. The envelope signature is used to sign individual documents wherever you are expected to sign. You do not need to sign documents one by one. In addition, you can sign multiple envelopes in bulk.
You can use envelope signing to your advantage when signing client onboarding or contract documentation or handover and acceptance reports in projects.

API and backward compatibility

The envelope feature has been available in the OBELISK Signing Portal API since version 40. The API is backwards compatible with the original one and upgrading OBELISK Signing Portal to version 40 and higher is possible without modifying the calls.

The backward compatibility of the API is guaranteed until 30 June 2027, and versions of the OBELISK Signing Portal product released after 31 December 2026 will no longer contain the API in version 1. Until then, we recommend implementing changes on the side of the connected systems.

Multiple signatures in one document
